Privacy Policy

1. Introduction

Kovara ("Kovara," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our websites, applications, portals, and related services—including Vista Warranty, DriveOne experiences we operate, quoting and checkout flows, and partner agency tools.

By using our services, you acknowledge this Policy. If you do not agree, please do not use our services. Our Terms of Service also apply.

2. Information We Collect

We may collect the following categories of information:

Identity and contact data. Name, email address, phone number, mailing address, and similar identifiers you or your agent provide when creating an account, requesting a quote, or completing checkout.

Vehicle and quote data. VIN, year, make, model, trim, mileage, license plate, state, and related eligibility or rating inputs needed to generate vehicle service contract quotes and contracts.

Account and organization data. Login credentials (handled by our authentication provider), organization/agency profile, branding preferences, team membership, and usage of partner dashboards.

Transaction and payment data. Contract selections, pricing, payment method type, financing term preferences, and payment status. Sensitive card or bank details are typically processed by payment and financing partners; we receive tokens, status updates, and limited confirmation data rather than storing full card numbers where those partners handle PCI-sensitive fields.

Documents and signatures. Signed contracts, disclosures (including financing disclosures), receipts, and related files generated or stored as part of checkout.

Communications data. Emails, SMS content metadata, support requests, and preferences related to opt-in or opt-out.

Technical and usage data. IP address, device and browser type, pages viewed, referring URLs, approximate location derived from IP, cookies or similar technologies, and diagnostic logs.

Information from partners. Agencies, carriers, rating/contract administrators, lenders, and e-signature providers may share information needed to quote, bind, finance, or service a contract.

3. How We Use Information

We use information to:

  • Provide quotes, checkout, electronic signing, payments, financing handoffs, and contract activation
  • Operate agency and customer portals, including document access and account management
  • Communicate about quotes, purchases, payments, renewals, claims guidance, and support
  • Verify eligibility, prevent fraud, and secure our services
  • Improve products, analytics, and user experience
  • Comply with law, respond to lawful requests, and enforce our Terms
  • Send marketing communications where permitted and where you have not opted out

4. How We Share Information

We may share information with:

  • Service providers that host infrastructure, authenticate users, process payments, provide financing, rate and administer vehicle service contracts, generate or host contract PDFs, enable e-signature, send email/SMS, provide analytics, or support customer service—under contractual obligations to protect data
  • Insurance agencies, dealers, and other partners who introduce you to our products or manage your quote on your behalf
  • Underwriters, administrators, and lenders needed to issue, finance, or service your contract
  • Professional advisors such as lawyers, auditors, or insurers when reasonably necessary
  • Authorities when required by law, legal process, or to protect rights, safety, and security
  • Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality

We do not sell your personal information for money. We do not share personal information for cross-context behavioral advertising in a manner that would require an opt-out under applicable U.S. state laws, except as disclosed and controllable where those laws apply.

5. Cookies and Similar Technologies

We and our providers may use cookies, local storage, pixels, and similar technologies to keep you signed in, remember preferences, measure performance, and understand how our sites are used. You can control cookies through your browser settings; disabling some cookies may limit functionality.

6. Your Choices

  • Email marketing: Unsubscribe via the link in marketing emails or our unsubscribe page. Transactional messages may continue.
  • SMS: Reply STOP to opt out of text messages.
  • Account information: Update profile details in your portal where available, or contact us for assistance.
  • Access and deletion: Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you by contacting support@kovara.ai. We may retain certain records as required for legal, fraud-prevention, accounting, or contract-administration purposes.

7. U.S. State Privacy Rights

Residents of certain states (including California and other states with comprehensive privacy laws) may have rights to know, access, correct, delete, or obtain a portable copy of personal information, and to appeal a denied request. To exercise these rights, email support@kovara.ai with the subject line "Privacy Request" and enough detail for us to verify your identity and locate your data. You will not be discriminated against for exercising privacy rights.

Note: Some Kovara consumer warranty products are not offered in every state (for example, Vista Warranty operations may exclude California). Availability does not limit applicable privacy rights regarding information we already hold.

8. Children's Privacy

Our services are directed to adults and businesses. We do not knowingly collect personal information from children under 13 (or under 16 where a higher age applies). If you believe we have collected such information, contact us and we will take appropriate steps to delete it.

9. Security

We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

10. Data Retention

We retain information for as long as needed to provide the services, fulfill contracts, resolve disputes, enforce agreements, and comply with legal and regulatory obligations (including recordkeeping related to vehicle service contracts and payments).

11. International Users

Our services are intended for use in the United States. If you access them from outside the U.S., you understand that information may be processed in the United States and other countries that may have different data-protection rules.

12. Third-Party Links

Our sites may link to third-party websites or services (including financing partners and external product sites). Their privacy practices are governed by their own policies. We encourage you to review those policies.

13. Changes to this Policy

We may update this Privacy Policy periodically. We will post the revised Policy with an updated effective date. Continued use of the services after changes means you accept the updated Policy.
